Administrative management
- Registration of entities in accordance with relevant laws and regulations (eg CSOS; STSMA and SARS)
- Preparation and distribution of meeting notices, agendas
- Host Annual General Meetings (AGM) for owners
- Address resolutions of Directors/Trustees
- Monthly management and maintenance of the property cycle which includes all monies to be received, related fixed and variable costs payments (e.g. various utility amounts; administration fees and parking)
- Daily processing of transactions in Pastel and distributing monthly management reports which indicate the balance sheet on the specific date, the income statement and cash flow for the period under review
- Maintaining the administrative fund referred to in section 3(1)(a) of the Act that must be used to fund the operating expenses of the body corporate for a particular financial year
Financial management
In accordance but not limited to the Sectional Title Management Act, 2011 (Act No 8 of 2011):
- Perform the following functions:
- Preparing and assisting with the budgeting for both the administrative fund levies, estimated operating expenses, reserve fund levies of which includes estimated repairs and maintenance
- Levying members with a special contribution if additional income is required to meet a necessary expense
- Increasing the contributions due by the members by a maximum of 10 per cent at the end of a financial year to take account of the anticipated increased liabilities of the body corporate
- Charging of interest on any overdue amount payable by a member to the body corporate
- Investing any moneys in the reserve fund referred to in sections 3(1)(b) of the Act
- We offer the following services on the maintenance, repair and replacement plan:
- Assist with the preparation of a written maintenance, repair and replacement plan for the common property of the bodies corporate setting out:
- the major capital items expected to require maintenance, repair and replacement within the next 10 years
- the present condition or state of repair of those items
- the time when those items or components of those items will need to be maintained, repaired or replaced
- the estimated cost of the maintenance, repair and replacement of those items or components
- the expected life of those items or components once maintained, repaired or replaced
- any other information the body corporate considers relevant
- Calculating the annual contribution to the reserve fund for the maintenance, repair or replacement of each of the major capital items which is determined according to the formula provided in the act
- Monthly customised reporting of budget vs actual including reserve fund and administrative fund progress and monies available
- Compilation of annual financial statements in accordance with entity specific framework
- Obtain yearly independent audit opinion on financial statements
Insurance
- Attending to insurance claims through the insurance company by liaising with the insurer or the broker
- Obtaining of quotations for insurance to ensure competitive pricing and relevant cover in accordance with
- risks referred to in regulation 3 of the act
- risks that members resolve must be covered by insurance
- risks that holders of registered first mortgage bonds over not less than 25 per cent in number of the primary sections by written notice to the body corporate may require to be covered by insurance
- Procurement of replacement value for each unit and exclusive use area
Payments
- Obtaining quality vendors at competitive prices or we use your preferred vendors
- Verifying invoice to agreed quote/contract of service providers before relevant payments are made
- Ensuring all payments are made via electronic fund transfer (EFT) according to relevant approved authorisation matrix of entity
Physical management
- This includes utilities, general maintenance and emergency repairs (building/garden/common areas)
- Performing periodic inspections of entity property
- Meeting facilities available at our office

- Exercise and apply the approved credit control procedures of tenant screening and vetting
- Marketing and letting of premises
- Preparation of lease agreements
